Policies & Purchasing

Clear expectations before the gear ships.

Professional equipment purchases can involve special orders, manufacturer lead times and project-specific configurations. We want you to know what to expect before you place an order.

Poste is a small, hands-on production technology company. We try to be flexible when circumstances allow, while protecting commitments already made to manufacturers, distributors and project partners.

Quotes & pricing

Unless a quote states otherwise, Poste quotes are valid for 14 days. Product pricing, promotions, availability and manufacturer lead times can change before an order is accepted. If a manufacturer or distributor changes pricing before we have committed the order, we will contact you before proceeding.

We may correct obvious pricing, description or availability errors before accepting an order. Taxes, freight, duties, rush charges and special handling are additional unless the quote specifically includes them.

Orders & payment

An inquiry, quote or submitted purchase request does not by itself guarantee inventory. An order is accepted when Poste confirms it and any required payment or deposit has been received.

We may require a deposit or payment in full for high-value, limited-availability or project-specific equipment. Deposits remain refundable until we commit funds on your behalf, unless the quote or invoice states otherwise. Once Poste has committed an order upstream, the special-order terms below apply.

Special orders & cancellations

Many professional cinema, broadcast and systems products are ordered specifically for a client. Special-order, built-to-order, configured, customized or manufacturer-committed items may be non-cancellable and non-returnable once Poste places the order with the manufacturer or distributor.

If circumstances change, contact us as soon as possible. We will make a reasonable effort to modify or cancel an order when our supplier allows it. Any unrecoverable manufacturer fees, freight charges or other committed costs remain the customer’s responsibility.

Returns & refunds

For eligible stock merchandise, contact Poste within 7 days of delivery to request a return authorization. Returns are not automatic and must be approved before merchandise is sent back.

Eligible items generally must be unused, unopened or in like-new resalable condition with all original packaging, accessories, manuals and serial-numbered materials. Poste may assess a restocking fee of up to 20% based on item condition, manufacturer return requirements and processing costs.

Special orders, activated or registered products, software and licenses, customized items, clearance items, consumables and merchandise that cannot be resold as new are generally final sale. Approved refunds are issued after inspection, normally within 10 business days of our receiving the return. Original shipping, expedited freight and other nonrecoverable charges are not refundable unless the return results from a Poste error.

Shipping & delivery

Delivery dates and manufacturer lead times are estimates unless Poste expressly agrees to a guaranteed date in writing. We will communicate material delays we become aware of, but manufacturer, carrier and supply-chain delays can occur outside our control.

Shipping, freight, insurance and special handling will be shown on the quote or invoice when applicable. Local pickup may be available by arrangement. Please inspect shipments promptly and keep all packaging until you know the order arrived safely.

Shipping damage & defective products

Report visible shipping damage, missing items or an incorrect shipment within 48 hours of delivery whenever possible. Keep the shipping carton and packing materials and send us photographs so we can work with the carrier or supplier.

If equipment appears defective, contact Poste before returning it. Depending on the product and manufacturer policy, we may troubleshoot with you, arrange a replacement when available, or help route the product through the manufacturer’s warranty process.

Manufacturer warranties

New equipment is generally covered by the warranty offered by its manufacturer, not a separate Poste warranty. Warranty terms vary by brand and product. Poste will make a reasonable effort to help our customers navigate manufacturer warranty claims, but the manufacturer determines warranty eligibility, repair and replacement.

Rentals, systems & professional services

This purchasing policy primarily covers equipment sales. Rentals, DIT and media-management services, systems integration, installation, consulting, labor and other professional services may be governed by a separate quote, statement of work, rental agreement or service agreement.

If a project includes both equipment and services, the project documents control where their terms differ from this page.

Questions before you buy?

Ask us. We would rather talk through an unusual order before money changes hands than surprise you afterward. If a project needs different commercial terms, we can discuss them before the order is accepted.
